Apartment Answering Service

Apartment Answering Service

An apartment answering service built for how communities actually run.

Residents call about leaks, lockouts, office hours, and parking. Prospects call about the community. Most of those calls arrive when nobody at the office can pick up. Activ Answer is an answering service for apartments that sorts every one of them, gets emergencies to a technician fast, and leaves a record your property management software can use.

Activ has answered apartment phones since 1994. This page is for property managers choosing a service: what an apartment answering service should handle, how the options compare, how a call becomes a work order in your PMS, and, just as important, what Activ does not do.

Four kinds of call

What an answering service for apartments has to handle.

A community phone line is not one kind of call. Each needs a different outcome, and a good service knows which is which.

Maintenance emergencies

A burst supply line or no heat in January goes straight to the on-call technician, with escalation to a backup if they do not respond. Our after-hours answering service page walks through that dispatch in detail, and our guide covers what counts as a maintenance emergency.

Maintenance that can wait

A dripping faucet should not wake anyone up. It still has to be captured. With Answer Intelligence, it arrives as its own non-emergency maintenance message and is never dispatched to on-call staff. With Answer Automate, it reaches your office as a message.

Questions about the community

Is the office open? Where do I park? Answer Intelligence answers what your community has already settled, including whether the office is open right now, so residents are not left waiting for a callback about office hours.

Prospects and leasing

A prospect’s questions about the community get answered, and the prospect is handed to your leasing team. Rent, availability, and tour scheduling stay with your team. Here is why we draw that line.

Side by side

Voicemail, a generic answering service, or one built for apartments.

The three options most property managers weigh, on the criteria that show up at 2:00 AM. Every provider is different, so verify the specifics with anyone you evaluate.

Office voicemail Generic answering service Activ Answer
Knows your community No. A recording, not a response. A script, often written for many kinds of business at once. Set up per property: your emergency criteria, on-call schedule, and office hours.
Maintenance emergencies Wait until someone checks messages. An agent takes a message, then calls or texts your technician. Dispatched in under 30 seconds by push, automated voice call, and email, with SMS on the final attempt.
When the tech does not answer Nothing happens. Varies. Ask whether they retry or move to a backup. Escalates to the next person in your on-call rotation.
Technician privacy Often a personal cell number on a flyer. Depends on how callbacks are routed. Masked callback, so a tech calls the resident back without exposing their own number.
Spanish-speaking residents Whatever the caller leaves. Varies by provider, sometimes at extra cost. English and Spanish intake, with transcripts in both languages.
The record left behind An audio file. A message summary, usually emailed. A recording, a transcript, and portfolio reporting for every call.
Your property management software Nothing reaches it. Someone re-keys the message the next morning. Work orders created in Entrata or ResMan, and resident and unit sync with Yardi, RealPage, Entrata, and ResMan.

Comparing more than these three? Our answering service comparison adds legacy providers and AI-first tools, and our guide to what an apartment answering service costs covers the fees below the headline rate.

Into your PMS

From a resident’s call to a work order in your property management software.

Most answering services stop at the message. The work order is where the call actually gets fixed.

With Entrata and ResMan, Activ can put a maintenance call into your PMS as a work order. You choose how. Automatic creates it moments after the call ends, for every maintenance message, with no staff action. Manual puts a create button on the call, so your staff reviews the details and submits it.

An automatic work order is matched to the resident by the number they called from, so it lands on the right unit. The call details, including the transcript, travel with it, and your property’s default category is applied. The notification still goes out exactly as it does today: work orders are added to your process, not a replacement for it.

From there, the work order belongs to your PMS. Activ shows its current status but never assigns, changes, or closes it. With Yardi and RealPage, Activ syncs residents and units so every call arrives with the right context.

  • Automatic or manual
Created as the call is processed, or after staff review.
  • Matched to the resident
The caller’s number finds the resident and unit.
  • Nothing is silently dropped
No match? The message still goes out, and the office is emailed to follow up.
  • Your PMS stays in charge
Activ never assigns, changes, or closes a work order.

On-call schedules per property

Build rotations once, with backups, and let dispatch follow them. See on-call scheduling.

Your choice of intake

A familiar menu with Answer Automate or a natural conversation with Answer Intelligence, on the same dispatch and reporting underneath.

Honest scope

What Activ does not do.

Knowing the limits before you sign is worth more than a feature list. These are ours.

  • No live operators.
Residents reach an IVR or a conversational AI agent. If a human voice on every call matters most to you, weigh that honestly. Our guide to live versus automated answering lays out the tradeoff.
  • No rent quotes, availability, or tour booking.
Those answers change daily and belong with your leasing team, so the agent hands prospects off instead of guessing.
  • No managing your work orders.
Activ creates them. Assigning, updating, and closing them stays in your PMS and with your team.
  • No automatic work order without a resident match.
Matching relies on current resident phone numbers in your PMS. Keep them current and automatic creation keeps working.
FAQs

Apartment answering service questions, answered.

What does an apartment answering service do?

It answers the calls your community cannot pick up, decides which ones are maintenance emergencies, gets emergencies to the on-call technician, and captures everything else as a message for your team. A multifamily-specific service like Activ also records and transcribes every call and can create the work order in your property management software.

Is Activ a call center?

No. Residents reach either a menu-driven IVR or a conversational AI agent, not a live operator. That is what lets an emergency reach your technician directly in under 30 seconds instead of passing through an agent who has to relay a message.

Can Activ create work orders in our property management software?

Yes, in Entrata and ResMan. You choose automatic creation, where the work order is created moments after the call, or manual creation, where your staff reviews the call and submits it. Activ also syncs residents and units from Yardi and RealPage.

What happens if Activ cannot match the caller to a resident?

The message is still delivered to everyone who normally receives it, and emergencies are still dispatched. Automatic work orders depend on matching the caller’s number to a current resident, so when there is no match, the office is emailed that a work order could not be created and someone follows up.

Does the AI agent handle leasing?

Partly, by design. Answer Intelligence answers questions about the community that you have already settled, such as whether the office is open, and hands prospects to your leasing team. Rent, availability, and tour scheduling stay with your team.

Does it work for a property management company with many communities?

Yes. On-call schedules, emergency criteria, and office hours are set per property, and corporate reporting shows calls, response times, and maintenance trends across the whole portfolio.
