Property Management Answering Service

Property Management Answering Service

One answering service for every property you manage.

A property management answering service answers the calls your properties cannot pick up, sends real maintenance emergencies to each property’s own on-call technician, and reports every call back to the managers responsible for it. Activ Answer does that across your whole portfolio, with each property keeping its own rules and regional and corporate teams seeing all of them in one place.

This page is for management companies running communities for many owners, where the hard part is not answering one phone line but keeping thirty of them consistent. Choosing for a single community? Start with our apartment answering service overview instead.

Activ Answer reporting, showing call activity and response data across several communities in one view.
At portfolio scale

What changes when you manage many properties.

Answering one community’s phone is a solved problem. Answering forty, for different owners, on different systems, is where most setups quietly break.

Every property has its own rules

What counts as an emergency, who is on call, and when the office is open differ by community and sometimes by owner. They have to be set per property, not averaged across the portfolio.

Coverage gaps hide across a portfolio

One property with an out-of-date rotation looks fine until the night an emergency goes unanswered. Across dozens of sites, nobody sees it coming unless the reporting shows it.

Different people need different views

A regional manager needs their communities. Corporate needs all of them. Neither should have to log into each property to find out what happened overnight.

Properties join and leave

Management contracts change hands. Onboarding a new community should take days, and letting one go should not be held up by a multi-year answering contract.

Side by side

A patchwork of vendors, a call center, or one platform for the portfolio.

The three ways management companies usually end up covering their phones, on the criteria that matter once you run more than a few properties. Every provider is different, so verify the specifics with anyone you evaluate.

Per-property escalation

Each property’s emergency reaches that property’s technician.

A portfolio answering service is only as good as its routing. The call has to land on the right person at the right community, every time.

Every property has its own on-call schedule: a primary technician and backups in the order you set, with weekday, weekend, and holiday coverage built once and repeated automatically. When a resident reports an emergency, Activ notifies that property’s on-call technician in under 30 seconds by push, automated voice call, and email.

If the technician does not respond after three calls, with a text on the third, Activ moves to the next person on that property’s list, then the next. If the whole list is exhausted, a high-importance email goes to everyone subscribed to those calls, so a missed emergency is never silently lost. Our after-hours answering service page walks through a call from ring to dispatch.

Residents can reach either a familiar menu with Answer Automate or a natural conversation with Answer Intelligence, in English or Spanish. You can choose per property, and dispatch, scheduling, and reporting are the same underneath either way.

  • Under 30 seconds
From the end of the call to the first notification.
  • Backups in your order
Three attempts per person, then the next on that property’s list.
  • Never silently lost
An exhausted list emails everyone subscribed to those calls.
  • Technician privacy
Masked callback keeps personal numbers private.
Across the portfolio

See every property’s night from one place, and fix what you find.

Corporate and regional teams should not have to call each site to learn what happened overnight.

One view, any scope

Calls, response times, and outcomes for a single property, a region, or the whole portfolio, without switching logins. See corporate reporting.

The actual call

Listen to the recording of any call, and read the full English or Spanish transcript of every conversational AI call, to hear exactly what a resident reported.

Act, not just review

Change who is on call, update a temporary greeting for a holiday or a weather closure, and manage who has access, at any community.

Aggregate reporting shows what no single property can: the community with a spike in emergency calls, a maintenance issue recurring across buildings, or a site where after-hours calls are going unanswered. That is a coverage problem to fix or a property that needs help, found before an owner asks about it.

Mixed systems

Different owners, different property management systems.

A third-party portfolio rarely runs on one system. Activ syncs residents and units with Yardi, RealPage, Entrata, and ResMan, so each property connects to the system its owner already uses, and a call from a resident whose number is on file arrives with their unit attached.

With Entrata and ResMan, Activ also creates the work order, automatically or after staff review. From there it belongs to your PMS: Activ shows its status but never assigns, changes, or closes it.

Every property type

Conventional, affordable, senior, student, and more.

Management companies rarely run one kind of community. Activ answers for conventional, affordable, high-rise, senior living, student housing, and commercial properties, and each is configured for its own rhythms: leasing pace, accessibility, language mix, and who should be called.

A handful of properties can be onboarded within 48 hours. A larger portfolio gets a dedicated customer success manager and a transition plan, and every new community gets a 20-minute personalized onboarding.

Honest scope

What Activ does not do.

Worth knowing before you roll anything out across a portfolio.

  • No live operators.
Residents reach an IVR or a conversational AI agent. If a human voice on every call matters most to your owners, weigh that honestly. Our guide to live versus automated answering lays out the tradeoff.
  • No automatic work orders in Yardi and RealPage yet.
Properties on those systems get resident and unit sync and a complete, transcribed call record today. Automatic creation is live for Entrata and ResMan.
  • No managing your work orders.
Activ creates them. Assigning, updating, and closing them stays in your PMS and with your team.
  • No rent quotes, availability, or tour booking.
Those answers change daily and belong with each property’s leasing team. Prospects get a transfer to leasing where a property has one set up, never a guess.
FAQs

Property management answering service questions, answered.

What is a property management answering service?

It answers the calls your properties cannot pick up, decides which are real maintenance emergencies, sends those to the right property’s on-call technician, and records everything else for the team responsible. For a management company, it also has to keep each property’s rules separate and report across the whole portfolio.

Can each property have its own emergency rules and on-call schedule?

Yes. Emergency criteria, on-call rotations with backups, and office hours are set per property. Regional and corporate users can change who is on call at any community without waiting on the site team.

Can regional managers see only their own communities?

Yes. You add, remove, and adjust who has access, so a regional manager sees the communities they are responsible for, and corporate users can see every community in one place without separate logins.

We use more than one property management system. Does that work?

Yes. Activ syncs residents and units with Yardi, RealPage, Entrata, and ResMan, so each property connects to the system it already runs on. Automatic work order creation is live today for Entrata and ResMan.

How long does it take to bring a portfolio on?

A handful of properties can be onboarded within 48 hours. For a larger portfolio, a dedicated customer success manager builds a transition plan with you, and each new community gets a 20-minute personalized onboarding.

What happens when a property leaves our portfolio?

Activ has no multi-year commitment and no early termination fee, and you can cancel with 30 days’ notice. Management and ownership changes are normal in this business, and a contract should not make them harder.

Is Activ a property management call center?

No. There are no live operators. Residents reach a menu-driven IVR or a conversational AI agent, which is what lets an emergency go straight to the technician in under 30 seconds instead of through an agent relaying a message.
