Maintenance Dispatch

Maintenance Dispatch

From resident call to dispatched technician in under 30 seconds.

When a resident reports an emergency, every second is damage, risk, and worry. Activ doesn’t take a message and hope someone reads it. It puts the call in front of your on-call technician immediately, then keeps working down the list until a human responds.

Dispatch speed is empathy. A burst supply line, a failed HVAC in July, a resident locked out at midnight: the difference between a fast response and a slow one is measured in flooded units and lost sleep. Activ’s job between the ring and the callback is to remove every avoidable second and make sure no urgent call falls through.

The notification cascade

No urgent call goes unanswered.

Activ doesn’t rely on a single alert and hope. It escalates automatically, through channels and then through people, until someone owns the call.

  1. 1

    Everything fires at once

The instant Activ identifies an emergency, it sends an email, a push notification, and places a voice call to the first on-call technician, simultaneously, not one after another.

  2. 2

    Three tries, then a text

If the technician doesn’t pick up, Activ calls again. On the third and final call to that person, it also sends a text message, a last, unmissable nudge before moving on.

  3. 3

    Down to the backup

Still no answer? Activ moves to the next person on the on-call schedule, the backup, and repeats the same three calls and a text. Your rotation decides the order; Activ works it faithfully.

  4. 4

Nobody is left in the dark

If the entire on-call list is exhausted without an answer, Activ sends a high-importance email to everyone subscribed to that prompt or conversation, so a manager knows immediately that a call still needs attention.

Why more than one channel

One alert is easy to sleep through.

At 2:00 AM, a single notification is a single point of failure. Activ reaches the on-call tech every way at once, so the message lands even when a phone is silenced or a signal is weak.

Push notification

An instant alert in the Activ app with the resident, unit, and the nature of the emergency already attached.

Voice call

A real ring that breaks through Do Not Disturb and actually wakes someone, placed three times before moving on.

Email

A written record of the call that’s waiting in the inbox, with the full context for the morning if needed.

Text message

Added on the third attempt to each technician, the final nudge that lands even when a call is missed.

Masked callback

Your technicians call back, privately.

Returning a resident’s call shouldn’t cost a technician their personal number.

When an on-call technician returns a call from the Activ mobile app, Activ places it using the property’s phone number. The resident sees their community calling, someone they recognize and will actually answer, and the technician’s personal cell number never appears on anyone’s phone.

That one detail protects your team from after-hours calls to their private line, keeps the interaction professional, and makes technicians far more willing to take on-call shifts.

  • Personal number stays private
Residents never see or capture a technician’s cell.
  • Calls show the property
Familiar caller ID means residents actually pick up.
  • Fewer reasons to dread on-call
Privacy makes the rotation easier to staff and sustain.
From call to work order

The dispatch doesn’t end at the callback.

A resolved emergency should leave a record behind, without anyone re-keying it in the morning.

For maintenance emergencies, Activ can automatically create a service request from the call, with resident, unit, and details included. With Entrata, that work order is inserted directly into your PMS with no manual entry, while the technician is already on the way. Automatic insertion for Yardi, ResMan, and RealPage is coming soon.

FAQs

Dispatch, answered.

How fast does Activ dispatch an emergency?

The moment a call is identified as an emergency, Activ notifies your on-call technician: email, push, and a voice call fire together, typically in under 30 seconds. There’s no queue and no live operator deciding whether it’s worth waking someone up.

What happens if the on-call technician doesn’t answer?

Activ calls each technician three times, adding a text message on the third attempt. If they still don’t answer, it moves to the next person on the on-call schedule, the backup, and repeats. If the whole list is exhausted, Activ emails everyone subscribed to that prompt, flagged high-importance, so the call never silently drops.

Will residents see my technician’s personal phone number?

No. When a technician returns the call from the Activ mobile app, the call is placed using the property’s phone number. Residents recognize who’s calling, and your technician’s personal number is never revealed.

Does the call turn into a work order?

For maintenance emergencies, Activ can automatically create a service request from the call. With Entrata, that work order is inserted directly into your PMS with no manual entry. Automatic insertion for Yardi, ResMan, and RealPage is coming soon.
