Resident Notice Templates

Resident notice templates

Ready-to-send notices for the work every community schedules: a water shut-off notice, a pool closure, a fire alarm test, pest control, a power outage, an elevator out of service and a parking lot closure. Each one is written as an email and as a text. Download them as a Word or PDF file.

Residents forgive a morning without water. What they remember is finding out with shampoo in their hair. A good notice names the buildings and the exact window, tells residents what to do beforehand, and arrives twice: a detailed email a few days ahead and a short text on the day. These templates do that for the seven notices property teams send most.

A water shut-off notice sent two ways: an email headed by a property logo with the day and the time window, sent on Monday, and the same notice as a short text message on Thursday morning that starts with the property's name.
The notices

Anything in [SQUARE BRACKETS] is yours to fill in. The text messages start with [NICKNAME], the short property name residents will recognize, and each is written to fit in a single text of about 160 characters once filled in.

For the office team

Habits that get notices read.

Name the buildings and the exact window, with the day as well as the date. Put the details in the email and keep the text short: one message of about 160 characters, starting with the property name, is read in full. Send a second message when the work is finished, because residents remember the all-clear. Keep a record of what went out and when.

Write the day and the date. “Thursday, November 12” survives a skim; “11/12” gets misread.

Lead the text with the property name. A text from an unknown number that starts with “Water will be off” reads like spam. One that starts with the community’s name gets opened.

Check entry and towing rules first. The fire alarm, pest control and parking notices can involve entering homes or moving cars. Confirm the notice period your lease and local law require before you set the dates.

Putting it into practice

Sending these notices with Activ.

Resident Messaging keeps the email and the text separate, the way these templates are written. Save each notice once as a template, with its subject, email and text, and reuse it the next time the pool closes.

Send to everyone, or only the buildings or units affected. Emails go out under your property’s logo, and every text starts with your property’s nickname without anyone typing it, so leave [NICKNAME]: off when you save a text. Schedule the reminder for the morning of the work, in the property’s timezone.

When a resident replies to ask whether the water is back, the reply lands in a shared inbox the whole property team can answer, by email or by text.

Questions

Common questions about resident notices.

How much notice should residents get before the water is shut off?
Your lease and local law set any minimum, so check those first. Beyond that, a notice a few days ahead and a reminder the morning of the work give residents time to fill a pitcher, plan showers and move appointments. For an emergency shut-off, send the text as soon as you know and follow with the details.
Should a notice go out by email or by text?
Both, with different jobs. The email carries the details: the exact window, the buildings, what to do before and after. The text is the reminder residents see on their phone, so it keeps to the essentials and starts with the property’s name so residents know who sent it.
What should every resident notice include?
Which buildings or homes are affected, the day and date, the start and end time, the reason, what residents need to do, and who to contact. Then send a second message when the work is finished.
Are these notice templates free?
Yes. Download them as a Word file you can edit or a PDF you can print, with no email address asked for. Adapt the wording to your community.
